Adding fighters to your events
Building a card is two steps: get the fighters onto the show, then match them into bouts. Doing it in that order means you can invite people before you know who they're fighting — which is how matchmaking usually works in practice.
Step 1 — Add fighters to the event
This is your event roster: everyone who's on the show, whether or not they have a bout yet.
- Select your event on the promoter dashboard, then open the Fighters tab.
- Tap Invite and pick a fighter, or share the event sign-up link — both are covered below.
Fighters you invite get a notification and can accept or decline. Accepting means they're on the show; it doesn't commit them to a particular opponent.
The Invite button
Invite opens a fighter picker with three places to look:
- My roster — fighters already linked to your promotion. This list loads without you typing anything, so it's the fastest way to re-book someone you've worked with.
- All fighters — everyone on SHWDWN. Type at least two characters to search.
- Accepted — the people who have already said yes to this event. Mostly useful in step 2, when you're matching them up.
Share event sign-up link
Rather than adding fighters one by one, you can share a link and let them add themselves. It's on the same Fighters screen, below the roster.
Anyone who signs up through it lands on this event, already accepted — you don't need to approve them — and they join your promotion roster at the same time, so they're there next time too.
This is the practical way to fill a card: paste it into the gym WhatsApp group rather than chasing twelve people individually.
Step 2 — Build the fight card
Once people are on the show, match them into bouts.
- On the Fighters tab, tap Build the fight card. It tells you how many accepted fighters still have no bout.
- Tap Add Bout.
- For each corner, pick a fighter. The picker opens on Accepted, so the fighters you invited in step 1 are right there.
- Set main event and scheduled time.
- Save the bout.
You don't have to do it in that order
The roster step is a convenience, not a requirement. When you add a bout you can still search All fighters or quick-add someone by name, and they'll be put on the show automatically. If you already know both names, going straight to the bout is fewer taps.
The roster earns its place when you're still matchmaking — it lets you lock people in early, see who's said yes, and work out the pairings later.
What “My roster” is
Your roster is your stable: every fighter connected to your promotion, across every event you've run. It's separate from an event roster, which is just who's on one particular show. On mobile it's the Roster tab when no event is selected.
It shows their record, how many of your events they've been on, how many tickets they've sold for you, and any ratings you've left them — so when you're filling a card you can see who actually sells.
How fighters get into it
- They sign up through one of your links — either your promotion sign-up link or an event sign-up link. Both add them to your roster.
- They've been on one of your cards — anyone placed in a bout on any of your events is on your roster from then on, including past events.
- They claim an invite you sent — a quick-add fighter who claims their invite link joins your roster when their real profile takes over.
Two things worth knowing. Quick-add placeholders don't appear in your roster until the real fighter claims them — the roster is people you can actually contact and pay. And inviting someone to a single event doesn't add them to your roster on its own; they join once they're in a bout, or if they came through a sign-up link.
Inviting quick-add fighters
When you quick-add a fighter, they don't have a SHWDWN account yet. They'll show on your public fight card, but they can't sell tickets or be paid until they're connected. To connect them:
- From the bout on the fight card, tap the fighter's name to generate an invite link.
- Send the link to the fighter (WhatsApp, text, email — whatever works).
- The fighter opens the link, downloads the app, creates their profile, and claims the bout. Their placeholder is automatically swapped to their real profile.
Reordering & editing bouts
You can reorder bouts using the up/down arrows, edit fighter assignments, or remove bouts entirely. The fight card order on the event page matches the order you set here.
Tip: Once a fighter claims their invite and is connected to a bout, they get a unique ticket link. Every ticket sold through their link is attributed to them — which feeds into fighter payouts.
